Pavilion and Gazebo Rental Guide & Liability Waiver Agreement
 
Overview
The City of Avon Lake permits residents and non-residents (ages 21 and over) to rent park pavilions and gazebos for private events. This guide outlines the reservation process, fees, rules, and the terms of liability to ensure fair and responsible use of our park facilities.
 
Rental Information
  • Reservation Window: Opens annually on March 1
  • Available Rental Dates: May 1 – October 15
  • Rental Hours: 8:00 AM – 10:00 PM
    (All renters must vacate the facility by 10:00 PM)
 
Rental Fees
  • $50 per day/per resident, $100 per day/per non-resident
  • All fees are non-refundable, except in the event of a cancellation by the City.
  • No refunds for inclement weather, though one-time rescheduling within the same calendar year may be allowed based on availability.
 
How to Reserve
  • Reservations can be made:
    • Online: www.avonlakeoh.myrec.com
    • In Person: At the Avon Lake Recreation Department
  • Proof of residency is required for the resident rate.
  • City events take priority over all other reservations.
  • Reservations are confirmed only after full payment has been received.
 
Payment & Cancellation Policy
  • Full payment is due at time of booking.
  • Cancellation requests must be submitted in writing.
 
Refund Policy
  • 100% refund if canceled 14+ days before the rental date.
  • No refund if canceled less than 14 days before the rental date.
  • No refund for weather-related cancellations (rescheduling may be available within the same calendar year).
 
Rules & Restrictions
 
General Guidelines
  • The permit holder must be present during the event.
  • All city, state, and federal laws must be followed.
  • The facility must be left clean. Trash must be placed in designated receptacles.
  • Decorations:
    • Must not cause damage.
    • Must be removed after the event.
    • Prohibited: tape, nails, tacks, staples, glue, or any damage-causing adhesives.
  • Only grills provided by the park may be used. Personal grills are not allowed.
  • Events charging admission or holding fundraisers must be approved by the Recreation Director.
 
Prohibited Activities
  • Pets
  • Fireworks or explosives
  • Alcohol or controlled substances
  • Gambling or inflatables (bounce houses, slides, etc.)
  • Candles, incense, or open flames (except park grills)
  • Loud music, bands, or DJs
  • Selling or soliciting goods
 
Food Trucks & Mobile Food Units
 
All mobile food units (trucks, carts, trailers) must be:
  • Licensed by the Health Department
  • Inspected for gas safety
  • Registered with the Avon Lake Fire Department

Permit holders must notify the Fire Department at least one week in advance of all food truck use:

Facility Use & Maintenance
  • Electricity: Limited; heavy electrical equipment is not permitted.
  • Cleanliness: The City aims to maintain cleanliness but cannot guarantee facility condition for weekend rentals.
  • Parking: Allowed in designated areas only; no parking on grass.
 
Liability & Indemnification
  • The permit holder is liable for any damage and cleanup costs incurred during the event.
  • The City is not responsible for lost or damaged personal property.
  • The renter agrees to indemnify and hold harmless the City of Avon Lake, including its agents and employees, from any claims or damages arising from facility use.
This clause does not apply to claims resulting from the City’s own negligence.
 
Acknowledgment of Terms
 
By reserving a pavilion or gazebo online, the renter certifies that they:
  • Are at least 21 years of age.
  • Have read and agree to all rules, policies, and liability terms outlined in this document.
  • Understand that failure to comply may result in revocation of this agreement without refund.
 
Permit holders must carry a receipt as proof of rental during the event.
